Keep enough context in a research note to return to the evidence later: the source’s identity, the relevant location, what the source says, and how you intend to use it. Separate copied wording from paraphrase and personal interpretation as you read.

The useful test is simple. Close the source, reopen it from the note, and recover the passage behind your claim. If you cannot do that, a polished summary is still missing an essential part of the research work.

Use AI to propose knowledge-base maintenance, not to become the authority over your notes. Begin with a read-only inventory, protect the current state, define one narrow objective, review every proposed action, and verify the final diff, links, search results, and privacy boundary.

This workflow is for an established collection that has become difficult to maintain manually. It does not replace choosing what kind of note you are writing or completing a short weekly review.

Use Obsidian, Notion, Git, and Office Without Duplicating Everything

Using several tools is not automatically a problem. Duplication becomes a problem when two copies both appear authoritative. Assign each tool one clear responsibility, keep one canonical source for each artifact, and use links or short summaries across boundaries.

Divide by responsibility

A useful default is:

Do not force every note into one template or promise to keep every note forever. Choose the note type by its job.

Use capture notes for temporary intake, course notes for one class context, concept notes for reusable understanding, project notes for active state and decisions, and reflection notes for evidence-based review. When a project note contains a verified instruction other people or future you must follow, promote it into maintained project documentation.

When Notion Is the Better Tool

Notion is a strong fit when several people need to update one structured source and see it in different ways. A group project, club, or student organization may need tasks by owner, deadlines by calendar, unresolved work by status, and discussion attached to the work.

If one person is taking personal concept notes, that collaboration model may add unnecessary account and maintenance obligations.
